ShaktiA remote team of Excel and spreadsheet specialists. You work directly with the person building your file, from the first question to the final handover. More about us.
The short version
Some companies do not have one Excel project. They have a steady stream of small ones, plus the maintenance of systems already built. A retainer makes sense when the cost of re-explaining your context each time exceeds the cost of keeping someone who already knows it.
Scope
Every engagement gets an hours estimate before it starts. If something below is not relevant to you, it comes out of the scope and off the estimate.
An agreed number of hours each month with a named specialist who knows your files.
Updates when your source data changes shape, which it will.
The small fixes and one-off analyses that are not worth scoping as projects.
Documentation kept current, so the retainer is not itself a key-person dependency.

Same work, different job titles
These all describe the same engagement. The title matters less than whether the person writes things down — but it is worth knowing which term to search, because the results differ.
The term most people use when they want one person, available when needed, rather than an agency engagement.
Same arrangement. Worth checking whether 'freelance' means one person with no cover, which matters when they are unavailable.
Ongoing framing: someone who maintains what already exists and picks up small jobs as they arrive.
For teams with steady but small need — a few hours most weeks rather than a project.
Method
Monthly hours, response expectations, and what falls in or out of scope.
The same person, so context accumulates instead of resetting.
A short call to agree what matters this month.
Adjust the arrangement, or end it. Retainers should be easy to leave.

| Testing | 15% of hours | Edge cases, checks that fail loudly, and the numbers reconciled. |
| Handover | 10% of hours | Documentation, update procedure and a recorded walkthrough. |

What clients ask before commissioning this work.
Ask us something elseWe work in monthly blocks with a short notice period, and prepaid hour blocks are refundable pro rata. Long lock-ins mostly protect the supplier, and we would rather be kept because the work is useful.
Within a quarter, yes, up to an agreed cap. We would rather you use the capacity than pay for nothing.
Only if you have recurring need. If you have one project, hire us for one project — we will say so rather than pushing a retainer you do not need.
