Spreadsheets inside a quality system
Add validation, locked formulas and a change log so a working file can survive an audit without becoming unusable day to day.
United States · California · San Diego
Lab, inventory and compliance reporting that has to hold up to an auditor. Looking for an Excel expert, consultant or freelancer around San Diego? We cover all of it remotely from India — dashboards, VBA development, data analysis — at hourly rates well under a local contractor's, with the same documented handover either way.

ShaktiA remote team of Excel and spreadsheet specialists. You work directly with the person building your file, from the first question to the final handover. More about us.
The local picture
A lot of San Diego's spreadsheet work sits under a regulatory shadow. Device makers, contract research organizations and defense suppliers all need records that show not just the number but who produced it and when. Excel is used heavily in these environments precisely because it is flexible, and that same flexibility is what makes an auditor nervous. The practical question is how to keep the convenience while adding enough control to survive a review.
What we get hired for here
For device and biotech clients, the workbooks that matter most are usually the least glamorous: batch records, inventory reconciliation, stability study tracking, supplier quality logs. They get built by a scientist or an operations lead under time pressure, they work, and then they quietly become part of the quality system. We tighten these up — input validation, protected calculation ranges, change logging, a clear owner — without turning a usable tool into something the team routes around.
Add validation, locked formulas and a change log so a working file can survive an audit without becoming unusable day to day.
Trace where physical count and system count diverge across locations and lots, and build the exception report that finds it next time.
Consolidate activity across US and Baja facilities with consistent units, currency handling and a shared definition of what counts as complete.
Typical source data for San Diego clients: LIMS exports, ERP inventory extracts, supplier quality records, instrument output files, and the department-maintained trackers that live on a shared drive.
An illustrative scenario
A composite example built to show method, not a specific client engagement. No client is identified and no outcome is guaranteed.
One tab per study, forty-two tabs, formulas referencing across sheets by position — and no record of who changed what.
We flatten it: one structured table, study as a field rather than a tab, which immediately makes reporting across studies possible.
Validation on the pull-date and result fields, protection on the calculated columns, and a simple change log that records edits with a timestamp.
Timepoint alerts replace the manual calendar check. The QA lead can now answer "what is due this month" in one filter instead of opening forty-two tabs.
Working together across time zones
Calls run 8:00–11:00 PT. Because we work while San Diego sleeps, a request logged Thursday evening often has a first pass ready Friday morning.
For a first conversation, the most useful thing to send is what the file is used to prove, who audits it, and where the manual count and the system count last disagreed. You do not need a requirements document, and if the file is sensitive a screen recording works just as well.
The workbook, or a description of what is slow.
Rate, hours and timeline, usually within a day.
Unlocked files, documentation, recorded walkthrough.
Services
All ten service lines are available in San Diego. These four come up most often in this market — hire a consultant, a freelancer or a full delivery team, whichever fits.

Unlocked files and commented code, a written update procedure, a recorded walkthrough, and intellectual property transferred to you. Nothing is hosted with us and nothing stops working if we stop working together.
Meet the teamQuestions
Answers written for this city, including the ones that might cost us the job.
Ask us something elseNot fully — and anyone who tells you they can build Part 11 compliance into a plain Excel file is overselling. True Part 11 compliance requires system-level audit trails and access control that Excel alone does not provide. What we can do is substantially harden a workbook: validation, formula protection, an in-file change log, and documented procedures. For genuine regulated-record use, that supports a validated system rather than replacing one. We will tell you honestly which side of that line your use case falls on.
We work remotely and have no San Diego presence, so for on-site engagement you would want a local contractor. For workbook rebuilds, automation and reporting, remote delivery works well and costs less.
Generally no, and this matters. ITAR restricts access by non-US persons, and our team is based in India. We would need you to provide a scrubbed or synthetic dataset, or engage a US-person contractor for that specific work. We would rather flag this at the first conversation than after a contract.
Yes — multi-location, multi-lot reconciliation is common work. The valuable output is usually the exception report that shows where counts diverge, not the summary that shows the total.
Yes. We treat the LIMS export as the source of truth and build a stable import layer around it, so a format change reports itself rather than silently producing wrong numbers.
By job title
The same people do all of this. We keep a separate page per specialism for San Diego because the work each one generates here genuinely differs — and because the job title you search under changes what you find.
Local or remote
Before you discount a local San Diego contractor, here is what they can do that we cannot.
For a workshop, a training session, or a discovery process across several departments, physical presence genuinely helps. We work well over a call, but we will not pretend it is identical.
A local entity, local invoicing, local contract law. For some organisations — public sector especially — that is not negotiable, and no amount of rate advantage changes it.
If a file breaks at 10am and must work by 2pm, somebody in your time zone will usually beat somebody in ours. Our overnight turnaround is an advantage for planned work and a disadvantage for emergencies.
At a consultancy the person who sells the work and the person who writes it are often different people. Here they are the same person, and you have their name.
One local generalist covers whatever they happen to know. A small specialist team covers modelling, VBA, BI and Sheets properly. Which matters more depends entirely on what your file needs.
A local contractor in a major city typically charges several times a remote specialist's hourly rate for output a reviewer could not tell apart. That difference is the whole reason remote delivery exists.
