The challenge
Leslie manages a commercial property and pays about 90% of its expenses on an American Express card. Every month, around 20 charges had to be sorted into the P&L spreadsheet by hand. With limited time, keeping the books current was getting pushed aside.
What we did
Took the monthly AmEx statement export and separated real expenses from the card payment, which isn’t an expense.
Matched each charge to the right P&L category, following how earlier months had been coded.
Combined multiple charges from the same vendor, including hardware store purchases, into a single line using the same format as previous months.
Caught an item already entered on the sheet, so it wasn’t counted twice.
Flagged one unfamiliar vendor for the client to confirm, leaving a note in the cell instead of guessing silently.
Updated only the new month’s column, leaving existing formulas, formatting and hidden columns unchanged.
The results
Approximate time savings relate to this project and its workflow.
Sorted into 12 P&L categories in a single pass.
Total expenses matched the AmEx statement, with zero formula errors.
Roughly this much manual entry time saved for the client.
Send the statement and receive an updated P&L.
